Exhibitor Showcase

IHA invites you to participate as a sponsor or as an exhibitor in the Exhibitor Showcase at the Annual Convention. 

The Exhibitor Showcase will be held on Sunday, October 6 between 8:00 a.m. and 5:30 p.m. and is open to all registered attendees. Refreshments will be provided in the exhibit area, along with door prize drawings, to encourage attendance. 

The exhibit booth fee includes a name badge for up to two representatives from your company for the Exhibitor Showcase. Representatives are welcome to attend the Chairman’s Celebration Reception and Dinner on Sunday evening; however, additional fees apply. Tickets may be purchased for other add-on events as well. At least one representative must be in the exhibit booth during exhibit hours. You will receive program materials in mid-August to register your representatives.

Please note that securing a sponsorship or an exhibit booth does not automatically register your representatives for this event. Individual conference registration must be completed in mid-August through IHA’s online registration website. 

The Exhibitor Showcase will be located in the Sun Valley Inn. Registered attendees will include hospital CEOs/administrators, C-Suite, directors/managers, and governing board members.

All booths include an 8’ back drape and 3’ side drapes. The booth consists of one 6’ draped table, two plastic chairs, and one booth ID sign. All additional needs, such as electricity, hard-wired internet, extra chairs, etc., must be contracted through Design West directly; WiFi is complimentary.

You should arrange any additional needs well in advance of the showcase. Design West will email to each contracted exhibitor a ‘Service Kit’ whereby exhibitors may order additional items. These items will be billed directly to your company. It is very important that this packet of information be returned to Design West if you have additional requests. The meeting space where the exhibits are located is carpeted. Equipment placement must not block the visibility of neighboring exhibits and must fit within the dimensions of the booth. It is very important that you adhere to this rule. 

Standard Booth: $950 before May 31, 2019; $1,150 thereafter 

Full payment is required with your application to exhibit. BOOTH SPACE WILL NOT BE RESERVED UNTIL THE APPLICATION AND PAYMENT, IN FULL, HAS BEEN RECEIVED. Indicate three booth preferences according to the enclosed floor plan. Booths are assigned on a first-come, first-served basis.

  • Booths 1-5 and 10-20 are reserved for IHA Premier, Gold, Silver, and Bronze Sponsors. If these booths have not been sold by June 1 they will be released for general sale. 
  • Booths 33-42 are reserved for endorsed partners of Healthcare Business Ventures…An IHA Subsidiary. These booths will not be released for general sale. 
  • To take advantage of the “Early Bird” rate for exhibit space, the exhibitor application and full payment must be received by IHA before close of business on May 31, 2019.
  • If booth space and/or a sponsorship is cancelled prior to July 1, 2019, a refund minus a processing fee of $250 shall be issued. If cancellation is made after July 1, 2019, the full booth/or sponsorship fee shall be forfeited. All notices of cancellation must be received in writing.
  • Due to print deadlines, ads must be received on or before June 17, 2019, to be included in the registration brochure. 

Applications received are accepted on a space-available-basis and if not received by July 1, 2019, it is possible that your company name may not be included in the registration materials due to distribution deadlines. 

If booth space is cancelled prior to July 1, 2019, a processing fee of $250 shall be retained. If cancellation is made after July 1, 2019, the full booth/or sponsorship fee shall be forfeited. ALL NOTICES OF CANCELLATION MUST BE RECEIVED IN WRITING. Qualifying refunds will be issued post-event. 

Any space not claimed and occupied for which no special arrangements have been made prior to 8:00 a.m., Sunday, October 6, 2019, may be resold or reassigned by IHA without obligation on the part of IHA for any refund whatsoever. Should the Exhibitor Showcase not sell out, IHA reserves the right to reassign booth space; exhibitors, however, will be notified before final reassignment occurs. 

An “Early Bird” rate for exhibit space will be offered through May 31, 2019. This rate provides a cost savings of $200 to those companies that submit an application to exhibit with full payment prior to this date. NOTE: The discount does not apply to sponsorships.

  • Door Prize Drawing: To being at approximately 4:45 p.m.
  • Booth Dismantling: 5:30 p.m.

Booths must be set up during the times noted above and must remain in place until the close of the Exhibitor Showcase at 5:30 p.m. Dismantling must be completed beginning at 5:30 p.m. IHA, Design West, nor the Sun Valley Resort are responsible for displays left in the exhibit area past 8:30 p.m. Please make arrangements in advance with your drayage service and/or shipping carrier so that dismantling of your booth runs smoothly and efficiently. 

A general rule is one exhibitor per booth; however, depending upon the individual situation, exceptions sometimes can be made. If you wish to share your booth with another exhibitor, there must be a formal, contractual arrangement between two companies, and you must notify IHA, in writing, at the time you submit your contract giving the name and relationship of the company and your reason for sharing. You will be notified by IHA if your request has been approved. Both companies must be listed on the contract. 

Design West maintains an exhibitor service desk during set-up and dismantling hours. The exhibitor “Service Kit” will be emailed to the address provided on the application prior to the meeting. Arrangements for additional furniture, special decorations, storage of equipment, transportation, etc., must be made directly with Design West. All such services are at the exhibitor’s expense. If the package will be delivered to a guest room, please indicate the guest name in place of the Vendor Name. Please do not list the group name on the package for room delivery, however, still indicate number of boxes in the shipment. 

Pre-printed labels with your account number are preferred. Blank labels for UPS, FedEx, etc., are available from Bell Service. Out-going shipments must be charged to a personal or corporate account or credit card. Freight pickup is available Monday through Friday; pick-up times vary. 

IHA staff will work with resort staff to secure the exhibit area. However, IHA shall not be held responsible for any lost or damaged equipment. 

ONLY REGISTERED EXHIBITORS OR SPONSORS WILL BE AUTHORIZED TO HOST HOSPITALITY SUITES AND SOCIAL/RECREATIONAL ACTIVITIES. They must not conflict with any meetings, IHA social functions, or the Exhibitor Showcase. We appreciate your cooperation. Attendee lists will be provided pre- and post-convention upon request. 

Exhibitors are encouraged, but not required, to provide door prizes for the drawing. If you have a door prize, please collect business cards at your booth. You will be asked to bring your door prize, and cards you’ve collected, to a central location in the exhibit area at approximately 4:45 p.m. IHA President and CEO, Brian Whitlock, will announce each company and you will draw for your prize from the cards collected at your booth. Registrants must be present to win and prizes are limited to one per attendee.
